Set Authorizations/Permissions for File Management
This article shows a basic scenario on how to apply authorization/permission settings to a folder in File/Storage Management.
Sample Scenario:
An IT Employee Handbook folder should be created in the Root Folder of File Management so that related IT Handbook files can be uploaded and accessed by the IT Administrators of the company. Also, the following authorization requirements for the folder should be applied:
- Accessible to both HR Administrators and IT Administrators in the Australia office
- HR Administrators can both access and edit the folder
- IT Administrators can access the folder but will not be able to make any changes
Prerequisite:
Make sure you have HR Administrators and IT Administrators User Groups set in the User Management.
How-To:
- Within the Root Folder of the File Management screen, click +Add New Folder.

- Enter the Name, Description and select the required categories for this folder. For this example, the folder name is IT Employee Handbook. To know more about Categories, read: Assign Categories.

- Click Add Authorizations.

- In the Users option, click Groups, then click on the selections icon on the right.
- From the Select groups from list, tick on the groups for the HR Administrators, and click Save.

- For the Conditions option, click the Change button.

- From the Add Conditions screen, click. Then, click Select Field.
- From the Select Field screen, search for the Country field. (In this example, the Country field was found from this path: Employee > Employment Details > Legal Entity > Country)

- From the selection of conditions, select equals, then enter Australia in the value field and click Apply.

- Now for the Permissions, click Read/Write.
You now have set the first authorization and permission settings required for the HR Administrators. Next is to add the permissions for the IT Administrators.- Again, click Add Authorizations and click on the Groups icon.
- This time, select the IT Administrators group from the list and click Save.
- Then follow the same actions from Steps 6 to 9 above.
- For the Permissions, this time click Read.
- Finally, click Save.
The sample screen below shows that there are now 2 Authorizations set for the newly added folder, following the requirements mentioned in the sample scenario above.
You should now be able to see the newly created item in the Root Folder of File Management. Viewing its details shows that there are conditions applied for the Strato Storage and Storage Card in the Authorizations section.

The set authorization is automatically applied to both Strato Storage and Storage Card. Clicking the Edit button will display the folder's edit mode and show the specific conditions applied to its Authorization settings.

For the Storage Card, authorized users or groups can only view the folder on the Storage Card.
