Why Timing Matters

When a SuccessFactors implementation is already underway, the question of when to introduce Strato’s document solutions is one that comes up regularly. In particular, Strato Document Management for SAP SuccessFactors and Strato Document Generation for SAP SuccessFactors have different implementation dependencies. The timing matters more than it might initially appear.

The instinct is often to wait. To let the SuccessFactors project stabilise before introducing anything else. That is understandable, but it can create sequencing challenges that are worth thinking through early.

Document Management and Document Generation have different dependencies, and those dependencies tend to determine when each workstream can meaningfully begin.

Document Management Depends on Organisational Structure

Document Management relies on a baseline of employee and organisational data to function correctly. The relevant Foundation Objects and organisational structures in SuccessFactors need to be sufficiently defined before Document Management configuration can be designed against meaningful data. 

Starting too early means building against assumptions that may change. Starting too late can compress the timeline in ways that create pressure later in the project.

A practical point to begin the Document Management engagement is once the relevant organisational structures have been sufficiently defined and set. This provides enough organisational structure to begin designing against meaningful data without waiting for the broader SuccessFactors implementation to mature.

Document Generation Can Start Earlier Than the Build

Document Generation follows a different pattern. 

Employee data is often still in its early stages when the SuccessFactors project begins, which means moving straight into a production build is not yet practical.

But that period does not need to be idle. 

Templates can be drafted and validated against sample data during design workshops, document requirements gathered, and scope confirmed. When employee data reaches a sufficient state of maturity, the build phase can move quickly rather than starting from zero.

Plan the Workstreams Together

The risk of not thinking through this sequencing early is that both workstreams end up competing for the same project window. Document Management configuration that should have started earlier gets compressed. Document Generation build work that could have progressed in parallel gets delayed. The result can be a timeline that is harder to manage than it needs to be.

For organisations running a SuccessFactors implementation, it is worth asking at the outset where Document Management and Document Generation sit in the broader project sequence. Not as an afterthought, but as part of how the implementation is planned from the start.

The earlier those dependencies are understood, the easier it is to plan both workstreams as part of the implementation rather than trying to fit them in around it later.
