Strato Document Management

OpenSearch Indexing

This enhancement streamlines system performance by removing the need for manual reindexing, reducing the time and resources required for maintaining search accuracy.

Users can now experience faster file searches, consistent data visibility, and improved overall responsiveness, especially beneficial for environments handling large volumes of files.

Strato Document Generation

Use OAuth with JWT Assertion on Web Service Client

With this feature, workflows that use the Call External Services step can authenticate with DocuSign using JWT Assertion instead of session-based tokens.

File Name Customization in Call External Services Step

Workflows with the File Output setting toggled on in a Call External Services Step can now customize the Output Filename, providing more control and consistency across a Workflow. The new Output Filename input parameter allows a user to customize the file name of the file output by mapping it to Static Text, a Container or Step Export Parameter, or a Datasource Field.

Mark Required Fields in Forms

This enhancement makes it easier for recipients to know which Form Fields are required to be filled out by showing a red asterisk beside the blank Form Fields.

Allow Default Values in Dropdown List Form Fields

Users can now set a default value for dropdown list fields in Form Templates. When configuring a dropdown, a new Default Value option appears, letting users choose from the list of values. Dynamic Mapping of User Group Recipient in User Decision Step

The User Decision Step now allows the User Group Recipient to be mapped to not just a static and predefined User Group, but to a Container, Step Export Parameter or a Datasource Field as well. This improvement makes Strato Workflows more streamlined and dynamic which was previously only achievable through creating duplicate Workflows.

Retrieval of Pending Data for Higher Duties / Temporary Assignment

This feature fixes an issue where pending employee data for Higher Duty and Temporary Assignment actions in SuccessFactors was incomplete. Previously, some details were stored in a different variable within the SuccessFactors response structure. The system now retrieves all required information, ensuring that assignment details are accurate and up to date.

Restore Visibility Settings in Documents

To reduce the issues of template components having multiple published versions caused by Catalog Specific and Global sections, the Visibility settings under the Section Settings tab were hidden by default.

With the release of this feature, the Visibility settings are now restored and behave as follows:

  • The visibility of existing Document Template Specific sections cannot be changed to Catalog Specific or Global.
  • Existing Catalog Specific and Global sections can be changed to Document Template Specific, or they can retain their original visibility settings.
  • When reusing Catalog Specific or Global sections into a document template, they are now set to Document Template Specific by default. This also clears duplicate published versions of the section.
  • Newly created sections are automatically set to Document Template Specific and cannot be changed to Catalog Specific or Global.

SuccessFactors Trigger

To enhance scalability and reliability, the process for handling Strato Workflows triggered by SuccessFactors Workflows has been optimized. Previously, when a large number of SuccessFactors Workflows were triggered simultaneously, some corresponding Strato Workflows were missing or not initiated.

This update restructures how tasks are processed in the background, ensuring more efficient workload distribution and minimizing or eliminating missing workflows. As a result, workflow execution is now more consistent and reliable, supporting smoother operations at scale.

Enable Download in Preview prior to User Action

With this enhancement, an Always Show Download Button toggle is available when setting up a User Decision step in a workflow. When toggled on, users can download a document in Preview mode, even before they have completed the action for the User Decision step.
